Event lighting is temporary on purpose
Most outdoor lighting is an installation. Event lighting is the opposite. A wedding, a milestone birthday, a company event, an anniversary: these are one night jobs. That changes everything about how it gets planned, starting with the fact that there is no second chance at it.That single fact shapes everything else about event work. An installation has time to be adjusted. An event is judged once, in one evening. Everything is agreed in advance, because there is no room to improvise on a fixed date.
The date does not move
With an installation, a delay is an inconvenience. With an event, there is none. That means the conversation has to start earlier than people expect. Even a modest setup has the same steps, and those steps take the time they take.
Power is where outdoor events go wrong
The most common outdoor event problem is not design, it is electricity. Where the power comes from, how it gets to the fixtures, and whether the run is safe to walk over are questions worth settling early. A beautiful plan nobody can energize is not a plan. And whoever is handling the lighting needs to know about the other vendors, since everybody working that space is competing for the same power and the same corners.
Planning for the day going wrong
An outdoor date carries weather risk. It is worth asking what happens if the forecast turns, even though it is not the fun part of planning. Knowing the plan B before you need it takes the pressure off the week of.
What tends to be worth lighting
Two categories: the parts people photograph and the parts people walk on. The photographed parts are the overhead canopy, the head table, the ceremony area, the feature tree. Function covers paths, level changes and exits, and it gets forgotten until somebody trips. Both need to be in the plan. Only one of them ends up in the photographs.
Who else needs to agree
If the event is at a venue, somebody else sets the terms. Access windows, what can be attached to what, whether anything can be staked into the ground, and when everything has to be gone are all set by the venue, not by you. Introduce them before the week of. It is free and it saves the most.
Most people order more than they need
Planning an event, more feels safer. Dark surroundings lower the threshold, so a plan that seems thin in daylight is usually right. The spaces that look best in photographs are almost always lit less than people expect, with warm light and real darkness between the lit areas. A designer who says you need less than you think is doing you a favor.
Booking a temporary display
The plan comes from seeing the site, since every venue has different constraints. EverCrest Lighting does event and party lighting alongside its permanent and seasonal work, for homes, venues and businesses across Upstate South Carolina and Western North Carolina, based in Greenville. Consultations
